Displaying the check-in code at your venue

Practical setup for QR check-in that actually gets used.

Where to put it

Where families already stop: the door, the desk, the top of the stairs. A code by the changing rooms gets scanned; a code held by a coach on the far side of the gym does not.

What to show it on
  • A tablet on a stand, screen brightness up — the best option
  • A phone held by whoever greets families

Screenshotting the check-in code does not work, because the codes expire and rotate. It has to be the live screen. See QR check-in.

Keeping it live

The screen shows a countdown. When it reads EXPIRED, tap Refresh QR Code. If a parent says the code failed, refresh before doing anything else.

Tip: Expect to still mark a few stragglers by hand. QR check-in is there to take the roll call from twenty taps down to three, not to zero.
